3. Payment Methods

  • Only credit cards (VISA, MASTER, JCB, and AMEX) payment are acceptable.
  • At the registration, the registrants receive the confirmation email and link to the receipt of the payment online.

4. No-Shows

Any accepted paper included in the final program must be presented at the IEEE DTDA 2025 conference by at least one author (or a qualified proxy). Papers that are not presented (“no-shows”) will not be published by IEEE on IEEE Xplore(R) or other public access forums, but they will still appear in the on-site electronic proceedings.

5. Cancellation Policy

  • How to Cancel: If you need to cancel your registration, please notify the IEEE DTDA 2025 Secretariat in writing by emailing dtda_2025@semiconportal.com. All associated charges for refund are the responsibility of the registrant.
  • Cancellation Fees: Cancellation fees will apply based on the date the Secretariat receives your cancellation notification.

Inquiries for Visa documentation

Deadline for Visa Support Application: 5pm, September 19, 2025 (Japan Time)

Citizens of certain countries are required to obtain a visa to enter Japan. Please check the following website of the Ministry of Foreign Affairs of Japan (MOFA) to know if you need to obtain a visa and the visa application procedures.

Request For Supporting Documents for VISA Application

The supporting documents such as Letter of guarantee, Letter of Invitation for VISA application for your VISA application will be prepared upon request. We only support VISA applications for the purpose of attending the conference. The applicants should satisfy all of the following conditions.
The guarantor of VISA application will be an affiliation, not an individual. Therefore, we will NOT accept the request to provide any information of the individual person of the affiliation.

Before you apply for assistance, you are required to take the following steps.

  1. Complete your registration with full payment of the registration fee
  2. Book a flight
  3. Reserve a hotel
    *The period of your stay must be scheduled for a maximum of 2 weeks (including symposium period (4 days), arriving and departing day in Japan (2 days)).
  4. Download questionnaire form by clicking "Questionnaire Form for Visa Support" button after your registration is complete.
  5. Submit filled questionnaire form and a copy of conference registration confirmation to the DTDA 2025 visa support office (dtda2025_visa@semiconportal.com) by 5pm, September 19, 2025 (Japan Time). Please be sure the following points about your passport information
    • Your passport is valid.
    • Passport must be of the nationality indicated on the questionnaire form.
    • If you are also applying for a visa for accompanying persons, you must also send the information of their passport.

Important Notes:

  • Upon the receipt of the supporting documents, you are responsible to proceed the VISA application on your responsibility.
  • Requirements for quarantine and VISA application documents may differ depending on your departure country. Please confirm the requirements on your responsibility.
  • DTDA 2025 will not take any responsibility for your loss in the case that you need to cancel your flight, hotel, and so on.
  • If you are unable to obtain a visa and cancel your registration, you will still be subject to the DTDA 2025 cancellation policy.
  • The organizer will issue visa support documents, but this does not guarantee that you will receive a visa.
